The Victoria - Exclusive Hire - Terms & Conditions
Provisional bookings
These will be held for a period of one month, or until there is an enquiry from another client. A phone call followed by an email will be sent to the client with the provisional booking, to give them an opportunity to confirm their booking. If this is not confirmed the booking will be removed from our reservation system.
Confirmation of an exclusive booking
To confirm the booking, a non-refundable deposit of the agreed hire fee is required and the terms and conditions is to be signed and dated by the client. Where there is a full exclusive hire of either The Conservatory or the entire Victoria venue, there will be an additional non-refundable deposit required for the 7 hotel rooms.
Payment method
Confirmation payment can be made by cash, credit card or via BACs payment. Please note we do not accept American Express or Diners cards.

One week prior to the event
Settlement of the minimum spend agreed, less the confirmation deposit is required. The remaining balance is to be settled on the day/evening of the event.
Should we not receive payment as per the agreed terms; the amount outstanding will be debited to the credit card (details to be kept on file).Cancellation policy
Should the event be cancelled by the client, the following charges will apply: • Cancellation within 60 days – 25% of the agreed minimum spend (excluding the deposit) • Cancellation within 30 days – 50% of the agreed minimum spend (excluding the deposit) • Cancellation within 14 days – 100% of the agreed minimum spend (excluding the deposit) • The agreed hire fee (paid to confirm the booking) is non-refundable along with the deposit for the hotel room’s reservation. • Should the event be cancelled by The Victoria, a full refund of the deposit will be returned.
Food requirements
Final guest numbers are to be supplied 5 full days in advance of the event. Should the guest numbers decrease below the numbers confirmed subsequent to that, The Victoria reserves the right to charge the full price of the food per head for the agreed numbers.
Property protection
The client is responsible for any damage to the property of The Victoria. This includes any physical damage to the building, either internally or externally or to breakage or theft of any items that are property of The Victoria.
